Please read this page carefully before confirming your safari with Madini Africa Adventure.

Welcome to Madini Africa Adventure. These Terms & Conditions set out the agreement between Madini Africa Adventure ("we", "us", "our company") and you, our traveler, including everyone named on your booking. Please take a moment to read them before you confirm your trip — once your booking is confirmed, it means you've read, understood, and accepted the terms below. If anything is unclear, reach out to our team any time; we'd rather answer your questions up front than leave room for surprises later. 1. Booking & Payment

  • Every service we offer is subject to availability and is only guaranteed once we've confirmed it in writing.
  • A deposit is required to secure your booking — typically 15% of the total trip cost for camping safaris and 30% for mid-range and above. Where a different deposit applies to a specific tour, we'll let you know before you confirm.
  • The remaining balance is due on arrival, before your safari begins, unless we've agreed on a different payment schedule in advance.
  • At the time of booking, we'll need full passenger details for everyone traveling, with names entered exactly as they appear on each passport.

2. Prices

  • All prices are quoted in US Dollars unless we state otherwise.
  • Prices are subject to change and are only locked in once your booking is confirmed.
  • Unless your itinerary says otherwise, quoted prices are per person and include: accommodation as specified, national park and conservation area fees, ground transport, domestic flights where applicable, driver-guide fees, three meals a day as outlined in your itinerary, drinking water during game drives, tea/coffee twice daily on safari, and unlimited game drives for the days booked.
  • As with booking, full passenger details (matching passport names) are required at the time of confirmation.

3. Descriptions & Service

  • We describe our accommodations, activities, and itineraries as accurately as possible based on the latest information we have, but we can't be held responsible for occasional changes made by our partners that fall outside our control.
  • The safari vehicle used depends on your itinerary and group size. We keep our fleet well maintained and roadworthy, and we keep contact details for rescue vehicles in every park we visit — but we can't accept liability for breakdowns, flat tires, road conditions, or any delays these may cause.
  • We may occasionally work with trusted subcontractors where needed.
  • We cannot guarantee specific wildlife sightings — after all, these are wild animals in their natural habitat. What we can guarantee is that our guides will do everything in their skill and experience to give you the best possible chance of great sightings.

4. Cancellations & Refunds

If you need to cancel

  • Let us know as soon as possible. Phone cancellations must be followed up in writing or by email within 24 hours; the cancellation date is the day we first hear from you, provided we receive written confirmation within that 24-hour window.
  • Cancellation charges scale with how close to departure you cancel:
  • More than 60 days before departure — free cancellation, or a credit note if you prefer.
  • 45–60 days before departure — refund eligible, minus a 15% fee to cover administrative costs, bank charges, and non-recoverable supplier deposits. Refunds are processed within 21 working days.
  • 30–44 days before departure — your choice of a 50% refund or a 100% credit note.
  • 15–29 days before departure — no refund, but a 100% credit note is provided.
  • Within 14 days of departure — no refund and no credit note, except in cases of a serious medical or legal emergency supported by valid documentation.

If we need to cancel

  • If a balance payment isn't received by its deadline, we reserve the right to cancel the booking and apply the cancellation charges above.
  • We generally won't cancel a confirmed tour within 60 days of departure unless something outside our control forces us to. If that happens, we'll offer you a comparable alternative where available, or a full refund, giving you the choice between: a similar-standard alternative at the same price, a lower-standard alternative with the difference refunded, a higher-standard alternative where you cover the difference, or a full refund.
  • We're not liable for losses or costs arising from a cancellation on our part beyond what's outlined here.

5. Complaints

  • If something isn't right during your trip, please tell your guide or driver right away so they have a chance to resolve it on the spot.
  • If the issue remains unresolved, you can submit a formal complaint to us in writing within 28 days of your tour ending. We're unable to consider complaints raised after this window.

6. Changes to Your Trip

Changes you request

  • We'll do our best to accommodate changes to a confirmed booking, though this isn't always possible depending on availability.

Changes we make

  • We may occasionally need to adjust a confirmed itinerary. This is rare, and when it happens we aim to maintain or improve the standard of your trip, letting you know as soon as we can.
  • For any significant change, we'll offer you a choice between: a similar alternative at the same standard and price, a lower-standard alternative with a refund of the difference, a higher-standard alternative where you cover the difference, or cancellation with a full refund.

Changes made by our partners

  • We work with reputable lodges, camps, and other suppliers, but we don't control their operations directly. If a supplier makes a significant change, we'll inform you as quickly as possible and handle it under the same options listed above, though we can't be held liable for the change itself.

Changes beyond anyone's control

  • Occasionally, circumstances outside our control — road closures, extreme weather, park or lodge issues, strikes, illness outbreaks, civil unrest, natural disasters, airline rescheduling or cancellations, or other events of this nature — may require us to adjust an itinerary. Any additional costs from these situations would be your responsibility, though your travel insurance may cover some of them. We'll always work to find the most practical, least costly solution, but we can't accept liability for losses caused by events like these.

7. Liability

  • Madini Africa Adventure cannot accept responsibility for illness, injury, death, or loss of any kind arising directly or indirectly from your trip.
  • We only work with reputable partners — hotels, lodges, domestic carriers, and similar — but since we don't directly control their services, we can't be held liable for their errors or shortcomings.
  • Safari travel carries inherent risk, and while we prioritize safety at every step, participation in any activity on your trip is at your own risk.
  • We're not liable for disruptions caused by matters beyond our control, including flight delays or cancellations, government actions, strikes, theft, epidemics, extreme weather, natural disasters, or mechanical issues (though in the case of a vehicle breakdown, we will arrange a replacement vehicle as quickly as possible).
  • It's your responsibility to make sure you and anyone traveling with you hold valid passports, visas, permits, and any required health documentation.

8. Health, Visas & Travel Documents

  • You're responsible for arranging any required vaccinations, health certificates, malaria precautions, visas, and currency needs. Madini Africa Adventure isn't liable for issues arising from these not being properly arranged.
  • Please arrive on time for all transport connections and keep your travel documents on hand. We can't be responsible for extra costs caused by missed connections, and if you're denied entry by immigration authorities, any repatriation costs are your own responsibility.

9. Guide & Driver Authority

  • Your guide or driver has final authority on all safety-related decisions during your trip, for your wellbeing and that of your fellow travelers.
  • Travelers are expected to comply with local laws and park regulations at all times.
  • We reserve the right to refuse a person's participation, or ask them to leave the tour, without refund, if their behavior puts the group or others at risk. This is a rare last resort, reserved for genuinely serious situations.

10. Third-Party Suppliers

  • Lodges, camps, airlines, and other suppliers we work with have their own booking terms, which may apply alongside ours and may limit their own liability. These are worth reviewing where relevant to your trip.
